Driver Policies
AGE
The minimum age to rent and or drive a vehicle is 21 years of age. Renters and additional drivers under the age of 25 will be charged $20 USD per day per person. The minimum age to rent a car is 21 years old and there is no maximum age restriction in the United States.
Exception: United States Government Employees – On Orders
A United States Government Employee can rent at 18 years of age, but must provide documentation of his or her official orders within 24 hours of booking the reservation.
DRIVERS LICENSE
An acceptable, valid drivers license must be presented at the time of rental at storefront locations and in advance of rental at remote locations. The drivers license must be valid for the entire rental period. If the driver’s license is in a language other than English, an International Driver’s Permit is recommended. A passport issued from your home country with a valid visa must be provided, whether you possess an International Drivers Permit or if your license is in a language other than English. You will not be allowed to rent a Landbird vehicle with only an International Driver’s Permit. Temporary licenses are acceptable with a second form of photo identification. Any license without a visible picture is not valid. A learner’s permit is not acceptable.
ADDITIONAL DRIVERS
Additional Drivers are any drivers other than the Renter. The Renter is always the credit cardholder. Additional Drivers must be present with a valid license at any Landbird location at the time of or prior to rental. No photocopies are accepted under any circumstances. Additional Drivers can be added to the agreement after the rental has been opened. Both Renter and Additional Driver must be present at the location together to add a driver after the agreement has been opened. Once an Additional Driver is added to an agreement, they can not be removed before the end of the contract. The fee for any Additional Driver is $10 USD per day per person.
An additional driver must be authorized to drive at the start of a rental agreement at the time of pick-up. The additional driver must be added to the rental agreement to be authorized to drive the rental vehicle.
Business Hours
BUSINESS HOURS
Business hours are 8:00 AM to 6:30 PM Monday through Friday and 8:00 AM to 4:30 PM Saturday and Sunday.
VEHICLE RETURNS
Vehicle returns will only be accepted as late as 6:30 PM Monday through Friday and 4:30 PM Saturday and Sunday.
AFTER-HOURS RETURNS
After-hours return is permitted however, contracts for vehicles returned after-hours will be closed out as of 8:00 AM of the following morning. Therefore, even if a vehicle is returned overnight, the return time reflected in the closing of the contract will be 8:00 AM the following morning.
The Renter and Additional Drivers are responsible for the rental vehicle until the vehicle is physically checked in by Landbird personnel. Damage occurring to the rental vehicle before it is physically checked in by Landbird personnel will be charged to the Renter. If damage to the vehicle is found upon inspection of the vehicle, Landbird reserves the right to wait until management is present to inform the renter of said damage.
AFTER-HOURS PICK-UPS
In some cases, a renter may require vehicle pick-up outside of Landbird’s business hours. This is common when customers are picking up a vehicle after a flight that lands late at night. After-hours pick-ups require pre-scheduling of at least 48-hours so that we can arrange personnel to service the customer and to pass along custom pick-up instructions to the customer.
Fee for after-hours pickups: $150
HOLIDAYS
Any vehicle returned on a business closure holiday will not be closed out until 8:00 AM on the next business day. Landbird is closed on the following holidays: Thanksgiving Day, Christmas Day.
Payment Policies
PAYMENT OPTIONS
Landbird accepts the following payment options: Credit Card, Debit Card, Check, Cash.
SECURITY AUTHORIZATION
At the time of your rental, a hold for the total amount of the rental plus the security deposit will be placed on a credit card or debit card of the primary renter. For remote reservations, the security authorization for the total amount of the rental plus the security deposit may be initiated up to 48 hours prior to the rental. The security deposit may be held for 30 days. Security deposit amounts vary according to payment type for the rental:
Credit Card Authorization
Total estimated cost of rental plus $300.00 security deposit
Debit Card Authorization
Total estimated cost of rental plus $500.00 security deposit
Cash/Check Payments Require Credit/Debit Authorization
If paying by cash or check a major credit card is required at the time of the rental for Security Authorization, even if this will not be the final method of payment. The credit card or debit card must match the ID of the renter.
DEPOSITS
Upon customer request, Landbird accepts deposits prior to the rental. Deposits made before the start of a rental are fully refundable up to 48 hours prior to the start of the rental reservation.
CREDIT CARD PAYMENTS
The name on a major credit card must match the name of the primary renter. For company credit cards, the company must provide a Credit Card Authorization Form authorizing the driver to use the company card for the rental.
Corporate Credit Card Authorization Form
When a company rents a vehicle and the company credit card does not match the renter’s name, a credit card authorization is required to be on file authorizing Landbird to charge a company card without a corresponding form of driver identification. The company initiating the rental must fill out a credit card authorization form and send legible photos of the credit card (front and back) and a legible photo of the cardholder’s driver’s license (front).
DEBIT CARD PAYMENTS
Debit Cards are allowed for Deposits, Payments, or Security Authorizations; however, additional requirements apply. The renter must provide proof of collision insurance on a vehicle in their name or purchase our Collision Damage Waiver for the vehicle type being rented. A higher Security Authorization is required and Landbird reserves the right to require a Deposit at the time of booking or pick-up.
Debit cards are not accepted for Security Authorizations on SUV rentals. However, they can be used for Deposits and Payments for SUV rentals.
PREPAID DEBIT CARD PAYMENTS
Prepaid debit cards, such as cash cards or gift cards, are not accepted.
CASH/CHECK PAYMENTS
Cash is accepted for Deposits or Payment at rental return. A 3% discount is available for cash payments and is only accepted at specific locations. A major credit card or debit card for Security Authorization is required in the name of the renter at the time of Pick-Up.
Rental Policies and Fees
DELIVERIES
Landbird offers delivery of your vehicle to a location of your choice. Call, chat, or email for rates and availability.
NO-SHOWS
Landbird reserves the right to charge a 1-day rental fee for no-show confirmed reservations.
ONE-WAY
Drop off at other locations is available for an additional charge. Contact Landbird at info@rentlandbird.com for a quote based on your travel itinerary.
CANCELLATION
A non-refundable deposit equivalent to a one-day rental, plus taxes and surcharges, will be charged to all reservations not canceled according to the following timelines, based on pick-up location.
Landbird Storefronts: Boston, MA
Cancellations must be made at least 48 hours prior (2 days) to pick-up time.
All Other Remote Pick-up Locations
Cancellations must be made at least 96 hours prior (4 days) to pick-up time.
See below for separate cancellations policies for long-term and high-volume rentals.
EARLY RETURN
There are no refunds for early returns.
LATE RETURN
When a vehicle is returned after the return time listed on the rental contract, the renter will incur additional charges.
- The rates per the rental agreement continue if the vehicle is returned after the return time.
- Day charges are applied if the vehicle is not returned by 5 hours after the return time.
- Late returns are billed by the hour if returned within 4 hours 59 minutes of the return time, or by the day if returned 5 or more hours after the return time.
GAS/FUEL
The vehicle must be returned with the same level of fuel as measured at pick-up. Measurements are done during vehicle inspection by, but not limited to, eighths of a tank. For vehicles returned with less fuel than the amount at pick-up, a charge for fuel will be assessed at a price per gallon. There are no refunds for fuel if a vehicle is returned with more fuel than measured at pick-up.

NO SMOKING
No smoking is allowed in any Landbird vehicle. Smoking in any Landbird vehicle will be subject to a $250 cleaning fee.
CLEANING FEES
Vans that are not returned in clean condition may be subject to cleaning fees.
- Excessive trash left in vehicle: $50
- Rug/ Upholstery Fee (if returned needing carpet/upholstery cleaning): $100
- Air Purification Fee (removal of smoky or foul odors): $250
- Any vehicles that require cleaning measures above and beyond those listed above, cleaning will be treated as damage. The cost to return the vehicle to its pre-rental condition will be charged to the customer.
OFF-ROAD USE IS PROHIBITED.
Use on any road or other area that is not hard surfaced and regularly maintained is prohibited.
VEHICLE DAMAGE RENTER RESPONSIBILITY
The renter is responsible for the cost of damage repairs up to the full retail value of the vehicle, loss of use, and expenses as provided in the rental agreement. The renter is responsible for any and all vehicle damage caused by any driver authorized to drive the vehicle.
Only the renter and named additional drivers on the rental agreement are authorized to operate the rental vehicle. Anyone else operating the vehicle is an unauthorized driver.
DAMAGE FEES
Fees for damages are the responsibility of the renter. Charges will be applied to the credit card used for the reservation, and any excess charges billed to the renter. Landbird takes pictures of each vehicle at pick-up and at return in order to document changes to vehicle condition while in the renter’s possession. Fees for damage reflect the cost of repair by reputable repair vendors, often the local dealership. Upon closing of the rental agreement with a damaged vehicle, Landbird may place a hold on the renter’s credit card for an estimated amount of the repair until the true cost of repairs is determined by the repair vendor.
Windshield Chips
A windshield chip is damage to the windshield that is repairable without the replacement of the full windshield glass. Windshield chip damage occurs from time to time. When a windshield chip occurs during a rental, the cost of the repair will be charged to the renter. Any other damage to a windshield will be treated as vehicle damage and damage fees would apply.
Windshield Chip Repair: $95 per windshield chip
PARKING AND MOVING VIOLATIONS
Parking and moving violations that occur during a rental are the responsibility of the renter. If Landbird is invoiced from a state or local municipality for a parking or moving violation, the cost of the violation plus a $50 processing fee (per incident) will be charged to the renter. Landbird will assess the following fees. Parking and moving violation fees are non-negotiable.
Parking/Moving Violations: Cost of Violation + $50 Processing Fee
If disputed with your credit card company an additional charge of $35 will be added. This is the fee our bank charges us when a credit card payment is disputed.
EQUIPMENT
Infant, Child, and Booster Seats are available with advance notice for $15 per day. Portable GPS Units are available upon request for $10 fee. E-Z Pass transponders are available for an additional charge.

TOLLS VIA EZ PASS
In many states Landbird customers travel, tolls are automatically recorded via EZ Pass. On some toll roads, EZ Pass is required as cash-payment toll booths have been removed. For example, if you are driving on highways in Massachusetts, EZ Pass is required since there are no toll booths that accept cash.

Customers can NOT use their own EZ Pass transponders from their personal vehicles. EZ pass will bill both Landbird and the customer transponder.
If you will travel on EZ Pass tolls roads you have the option to pay in advance by renting an EZ Pass from us, or pay the toll and toll violation charges as described below.
EZ Pass Charges for New England Rentals
Local travel in New England states, all tolls included: $20/day

Charges for Toll Violations
If you drive a vehicle through a toll without paying, Landbird will assess the following fees. Toll violation fees are non-negotiable.
First Toll Violation: $25 Fee + Cost of Toll Charged to Landbird
Each Toll Violation Thereafter: $5/Violation Fee + Cost of Toll Charged to Landbird
If disputed with your credit card company an additional charge of $35 will be added. This is the fee our bank charges us when a credit card payment is disputed.
UNLIMITED MILEAGE OUTSIDE REGION FEE
Unlimited mileage is usually included when rented vehicles remain within the geographic region of the rental location. (Unlimited mileage is not included or available for cargo vans and box trucks.) When traveling outside of the region, Landbird can offer unlimited mileage with an additional fee.
New England – Region
Travel outside of New England: $30/day
New England states are MA, ME, NH, VT, CT, RI
Note: Travel to New York is outside the New England region.
Mileage-Based Option
If a renter chooses not to purchase unlimited mileage outside the region, we can offer a mileage-based charge. If a vehicle travels outside of the authorized area per the rental agreement, the renter is allowed 100 free miles per day with a rate of $0.49/mile thereafter. In most cases – especially on long road trips – a renter will save money by paying the unlimited mileage fee for out-of-region travel.
MILEAGE CHARGES
Many rental packages offer unlimited mileage. Some vehicles – cargo vans and box trucks – do have mileage charges, which will be noted in the rental agreement. Unless otherwise noted in your rental agreement the mileage charge is $0.49/mile. This rate is billed if the rental exceeds the allowed mileage in a day or during the rental period as defined in the rental agreement. This charge applies if an unlimited mileage rental is used outside of the defined unlimited mileage area.
SEAT REMOVAL
Landbird permits the removal of seats in a van, which can be stored at a Landbird facility. Customers should provide at least 96-hours notice of a seat removal request. Visit the fleet portion of the website to see which seats are removable in each vehicle type. If seats are removed for the transportation of equipment, it is the renter’s responsibility to ensure proper precautions are taken to protect the vehicle from the loading and unloading of that equipment. Landbird reserves the right to deny a seat removal request. Customers are discouraged from removing seats on their own but may do so at their own risk.
Seat removal fee: $150 per rental
TOWING
Some vehicles have trailer hitches that may be used by the renter with approval prior to the rental. The trailer must be registered in the renter’s name and have personal insurance covering the trailer. The trailer weight must remain below the tow limit thresholds for the vehicle. Rented trailers are not permitted, and Landbird does not offer trailers to rent.
Fee for towing: $10/day
VEHICLE DATA
Landbird reserves the right to track vehicle data throughout the rental, including but not limited to GPS data, vehicle speed, fuel level, and ignition on/off. Any tampering with or removal of GPS or telematics hardware is in violation of the rental agreement and is not permitted.
THIRD-PARTY INSURANCE CLAIM ADMINISTRATION FEE
In the event of an insurance claim associated with the rental, a $250.00 administrative charge will apply to all 3rd party insurance, which is coverage purchased through an internet booking or credit card coverage.
LONG-TERM RENTALS
Long-term rentals are rentals for 1 or more months, up to 4 vehicles booked concurrently. Long-term rentals have additional terms and conditions.
Long-Term Rental Deposit
A 25% deposit is required within 2 weeks of the date the reservation is placed (booking date) in order to hold the vehicle. If the deposit is not received within 2 weeks of booking, the reservation will become a pending reservation: all the details and rates are saved, but a specific vehicle will not be assigned to the reservation until the 25% deposit is received. Payment of the remaining 75% of the rental must be made in full prior to pickup.
Long-Term Rental Cancellation
For deposits paid by credit card, 4 weeks in advance: If the rental is canceled more than 4 weeks prior to the pickup date, a cancellation fee of 5% of the deposit will be held to cover processing fees. The remaining 95% of the deposit will be refunded to the customer.
For deposits paid by check, 4 week in advance: If the rental is canceled more than 4 weeks prior to the pickup date, the deposit will be refunded in full by check.
For cancellations within 4 weeks of the pickup date (regardless of payment method), a cancellation fee of a 1-week rental charge for the applicable vehicle will be held from the deposit.
Long-Term Rental Payment Plans
For rentals of 3 months or more, a monthly payment plan may be arranged. A monthly payment for the month ahead must be received by the beginning of each rental month to retain possession of the vehicle. Payment plan terms are designed on a case-by-case basis.
HIGH-VOLUME RENTALS
High-volume rentals are rentals of 5 or more vehicles rented at a time, for less than 1-month duration. High-volume rentals have additional terms and conditions.
High-Volume Rental Deposit
A 25% non-refundable deposit is due at least 4 weeks prior to the pickup date in order to maintain assignment to a specific vehicle. Vehicle assignments may be released if deposit is not received 4 weeks prior to rental. There is no guarantee of vehicle availability unless the deposit is received 4 weeks prior. Landbird cannot hold high-volume reservation vehicle assignments without a deposit. Payment of the remaining 75% of the rental must be made in full prior to vehicle pickup.
High-Volume Rental Cancellations
4 weeks or more prior to rental, deposit paid by credit card: a cancellation fee of 5% of the deposit will be held to cover processing fees. The remaining 95% of the deposit will be refunded to the customer.
4 weeks or more prior to rental, deposit paid by cash/check: the deposit will be refunded in full by check.
4 weeks or less prior to the rental: The 25% deposit is not refundable.
HIGH-VOLUME LONG-TERM RENTALS
High-volume long-term rentals are rentals of 5 or more vehicles for 1 or more months. High-volume long-term rentals have additional terms and conditions.

For cancellations within 4 weeks of the pickup date: The cancellation fee is 25%. The 25% deposit becomes non-refundable.
Long-Term Rental High-Volume Payment Plans
For rentals of 3 months or more, a monthly payment plan may be arranged. A monthly payment for the month ahead must be received by the beginning of each rental month to retain possession of the vehicle. Payment plan terms are designed on a case-by-case basis.
INSURANCE
A renter is 100% responsible for the vehicle while in their possession. While insurance is not required for rentals under a personal major credit card, the cost of any vehicle damage is the responsibility of the renter, so insurance is highly recommended.
Coverage from your own policy applies when you are using a rental car for personal, non-business purposes. The rules may be different for business use of a rental car. Check with your insurer or employer for details about coverage when using a rental car for business.
Landbird employees are not qualified to evaluate the adequacy of renters’ existing coverage.
Renters paying with a Debit Card
For renters paying with a personal debit card, proof of insurance with collision coverage is required, or the renter must purchase coverage from Landbird.
Company Contracts & Livery/Limo Companies
For rentals under company contracts, and for all livery and limousine company rentals, proof of insurance with coverage for Hired Automobiles is required.
The renter is responsible for all damage or loss caused to others. Where state law requires Landbird to provide auto liability insurance it is secondary to any other valid and collectible insurance whether primary, secondary, excess, or contingent.
Coverage is void if the renter violates the terms of the Rental Agreement or if the renter fails to cooperate in any loss investigation conducted by Landbird or our insurer. If the renter allows the Vehicle to be driven by a person who is not an Authorized Driver, the Policy is thereby terminated.
No benefit shall be payable if the Renter converts the vehicle. A vehicle is deemed converted when not returned to Lessor by the return or extended return date shown in the Rental Agreement.
COVERAGE OPTIONS
Collision Damage Waiver (CDW)
CDW covers the Landbird vehicle in case of an accident. There is a $1,000 deductible per damage incident associated with this policy, meaning the renter is responsible for all damage up to $1,000 per incident. This is not insurance but a waiver limiting your expenses for damage fees in the event vehicle damage occurs.
CDW for Vans & Ford Expedition: $39.99/day
CDW for SUVs: $24.99/day
If you purchase Collision Damage Waiver we waive your responsibility for a portion of Collision Damage to the Vehicle. We will not waive your responsibility if the Vehicle was rented or an Authorized Driver was approved as a result of fraudulent information provided to us, or if the damage or loss: (a) is cause intentionally, willfully or wantonly by an Authorized Driver (b) occurs while an Authorized Driver is legally intoxicated or under the influence of any illegal drug or chemical as defined and determined under the law of the state where the damage occurs (c) is caused while you are engaged in any speed contest (d) results from pushing or towing anything, or carrying persons or property for hire, unless specifically authorized elsewhere in the agreement (e) occurs outside the United States or Canada, unless specifically authorized elsewhere in the agreement (f) occurs while the Vehicle is being driven, with the renter’s permission or accession, by anyone other than an Authorized Driver or, (g) occurs during the commission of a felony by an Authorized Driver.
Personal Accident/Personal Effect Coverage (PAI) – SUVs only
PAI covers the people inside of the vehicle and their personal effects up to $100,000 in coverage. Personal accident insurance covers medical costs for you and your passengers if you’re involved in an accident. Personal effects coverage pays for your belongings if they’re stolen from the rental car.
PAI for SUVs: $11.00/day
**PAI is not available for 10, 12, or 15-passenger vans
If you purchase PAI/PEC (Personal Accident Insurance/Personal Effects Coverage) the policy provides coverage for death or bodily injury caused directly and independently of all other causes by covered accident. Eligible expenses are defined in policy as commencing within 30 days of the accident. COVERAGE NOT VALID ON RENTALS NOT PAID. Coverage may provide duplication already provided by Renters personal automobile, homeowners, personal liability insurance policy, or other source of coverage. The purchase of coverage is NOT REQUIRED to rent a vehicle. Policy provides coverage for the actual cash value of the personal property which YOU ARE TRAVELLING WITH against loss or damage caused by fire, theft, vandalism, food, explosion, lightning or accident to the Renter and renters immediate family TRAVELLING with the renter, Passengers TRAVELLING with the primary renter that are not members of the renters immediate family. IMMEDIATE FAMILY is defined as mother, father, legal spouse, and children under 25 years old. The policy does not cover a) conviction of intoxicants or narcotics, b) intentional self-inflicted injury, c) committing or attempting to commit an assault, felony, misdemeanor, d) racing or stunt driving, e) conviction of reckless driving, f) any misrepresentation on Rental Agreement.
Supplemental Liability Coverage (SLI)
SLI covers damage to third parties, up to $1 million in coverage.
SLI for Vans & Ford Expedition: $23.95/day
SLI for SUVs: $13.95/day
Collision Deductible Damage Waiver (CDDW)
CDDW covers your personal insurance deductible up to $1,000.
CDDW for all vehicles: $19.99/day
COVERAGE FROM YOUR CREDIT CARD
Credit cards often provide coverage for rental cars, assuming you have used the card to pay for the rental and the rental is in your name. Credit card rental car coverage is secondary coverage, meaning your own auto insurance policy will pay out first. The renter is responsible to check to ensure their policy extends to large format vehicles. Some credit card policies only extend to cars and SUVs but not passenger vans.
A $250.00 administrative charge will apply to all 3rd party insurance, which is coverage purchased through an internet booking or credit card coverage.
